I’m Anita — a Chartered Accountant who’s been self-employed for most of my working life. These are the apps I’d recommend to a sole trader starting out today: the ones that genuinely save time, reduce stress, or keep more money in your pocket.

If you only download one paid app as a sole trader, make it accounting software — and Xero is the one I’d point most people towards.
On your phone, the Xero app lets you raise and send invoices instantly, reconcile bank transactions, capture receipts with your camera, and check your cashflow in real time. It’s fully Making Tax Digital compliant, which matters if you’re above the MTD income threshold — or will be soon.
The bank feed feature is the one clients tell me they couldn’t go back from. Link your business bank account and transactions import automatically — no manual data entry, no missing transactions come January.

Starling Bank — Best Free Business Banking App
A separate business bank account is one of the best habits you can build as a sole trader — and Starling’s app makes it genuinely effortless.
Everything is done from your phone: instant payment notifications, spending categorisation, tax savings pots (genuinely useful for setting aside your tax bill), and direct integration with Xero, FreeAgent, and QuickBooks. No monthly fees, no minimum balance, FSCS-protected up to £85,000.
The “Spaces” feature is the one I’d highlight specifically: you can ring-fence money for your tax bill, for a specific project, or for a rainy day — all within the same account. Far better than trying to remember not to spend money you owe HMRC.

If you’re not ready for full accounting software yet and just need to send professional invoices, Zoho Invoice is genuinely free with no catch — unlimited invoices, client reminders, and basic reporting at no cost.

Receipt Capture Apps
Dext — Best App for Capturing Receipts
The biggest admin habit change most sole traders need to make: photographing receipts immediately rather than hoarding them in a drawer and reconstructing everything at tax time.
Dext (formerly Receipt Bank) is the market leader for receipt capture. Point your camera at a receipt, and it extracts the data — supplier, amount, date, category — and pushes it directly into your accounting software. It integrates natively with Xero, QuickBooks, and FreeAgent.
The alternative: most accounting apps (including Xero) have their own built-in receipt capture. It’s less powerful than Dext but perfectly adequate for most sole traders. Try the built-in option first — only add Dext if you find yourself processing a high volume of receipts.

Canva — Best Design App for Non-Designers
For social media graphics, proposal documents, presentations, invoices, and anything else that needs to look professional without costing you a designer, Canva is the answer.
The mobile app is excellent — you can put together branded graphics in minutes from your phone. Thousands of templates, all customisable. The free plan is genuinely useful; Pro unlocks the brand kit, background remover, and premium templates.

Time Tracking Apps
Toggl Track — Best Free Time Tracking App
If you bill clients by the hour, or you want to understand where your working time actually goes, Toggl is the simplest and most reliable option.
One tap to start a timer, one tap to stop. Categorise by client or project. Review reports weekly to see where your time went. The free plan is more than enough for most sole traders.

Scheduling and Booking Apps
Calendly — Best App for Client Booking
If you have regular discovery calls, client meetings, or consultations, Calendly removes the back-and-forth of finding a time. Share your link, people book based on your availability, it adds to your calendar automatically.
The free plan covers one event type — sufficient for most sole traders. The paid plan adds more booking types, payment collection, and branding.

Communication Apps
Zoom — Best App for Client Calls
The default for video calls with clients. The free plan allows unlimited one-to-one calls and 40-minute group meetings — sufficient for most sole traders’ needs.

Slack — Best App for Team Communication
Only relevant if you work with subcontractors or VAs regularly. For a sole trader working entirely alone, it’s overkill. If you do have people working with you, Slack’s free plan handles most needs.

Password and Security Apps
1Password or Bitwarden — Best Password Manager
Not glamorous — but as a sole trader you’re responsible for your own security. A password manager means one strong password to remember, and unique secure passwords for every tool and account you use. Bitwarden is free and excellent. 1Password is paid and more polished.
This is the app most people don’t bother with until they get hacked. Don’t be that person.

What You Probably Don’t Need
A few apps worth skipping — at least to start with:
Expensive CRM software — most sole traders don’t need Salesforce or HubSpot. A well-maintained spreadsheet or Notion database handles client management perfectly well until you’re turning away work regularly.
Separate email marketing apps with paid plans — if you’re just starting to build an email list, Mailchimp or MailerLite’s free plans are more than enough. Don’t pay for a list of 200 people.
Multiple project management apps — pick one and use it consistently. Trello, ClickUp, or Notion all work. Switching between them doesn’t.
Every productivity app you see on TikTok — the best productivity system is the one you’ll actually use. Simple beats clever every time.

If you’re just getting started and want a simple, functional setup:
